In a meeting, two or more people come together to discuss one or more topics, often in a formal setting.

Definitions

An act or process of coming together as an assembly for a common purpose

A meeting is a gathering of two or more people that has been convened for the purpose of achieving a common goal through verbal interaction, such as sharing information or reaching agreement. Meetings may occur face to face or virtually, as mediated by communications technology, such as a telephone conference call, a skyped conference call or a videoconference.

Thus, a meeting may be distinguished from other gatherings, such as a chance encounter (not convened), a sports game or a concert (verbal interaction is incidental), a party or the company of friends (no common goal is to be achieved) and a demonstration (whose common goal is achieved mainly through the number of demonstrators present, not verbal interaction).

Commercially, the term is used by meeting planners and other meeting professionals to denote an event booked at a hotel, convention center or any other venue dedicated to such gatherings. In this sense, the term meeting covers a lecture (one presentation), seminar (typically several presentations, small audience, one day), conference (mid-size, one or more days), congress (large, several days), exhibition or trade show (with manned stands being visited by passers-by), workshop (smaller, with active participants), training course, team-building session and kick-off event.

Is it possible to turn a meeting to discuss goals into a fun/pleasant meeting?
Q. Every meeting I've participated to discuss results and goals is stressful. The managers that have achieved their goals are satisfied but the other ones are get very annoyed.This type of meeting is necessary for the company, however I'd like to try to turn it into a more pleasant or even fun meeting. Would you have any suggestions?

A. I don't have a clue. There is no way to make a meeting about goals and results fun. If you do, you take the seriousness out of the meeting. Certainly there are changes in the location that can be made and you can make it more pleasant. The question is why are the managers not making their goals. Are the goals attainable? Are they set with their agreement? is the ones that make the goal, sandbagging the goals to meet them.

What should I bring to my business meeting for my new company?
Q. My family and I started a new janitorial company and we have a meeting with a potential client later this week, but I do not know what to bring with me. I want to wait until after the meeting to draft a proposal so I can include specifics and details relating to the their business and exact needs. Obviously I would need to bring business cards and such, and a notebook to jot down notes. Is there any other material I should bring that might be useful? I have never done this before so I am kind of clueless.

A. That should be sufficient for your first meeting. As you grow more accustomed to what your business will be like, additional things you should bring are price lists (10 rooms for $x, 20 rooms for $y), a generic contract (so your customer can see terms of service upfront), special promotions/discounts (if they sign with your for 6 months, they get a 20% discount), and references from other clients (good words from others always boosts future business). Also, depending upon the size of your client, they might want to see insurance documents (like do you carry liability insurance, workman's compensation, etc.)

Is there a good way to schedule a meeting in Microsoft Outlook 2007 for non-Outlook users?
Q. I've tried sending meeting invitations to a big group of people. The non-Outlook users only see gibberish when they open the invitation. Is there a way around this other than cutting and pasting the body of the message in an email?
